Everything you need to know about ClaireMed: how it works, HIPAA compliance, implementation, and more.
ClaireMed uses a 7-agent voice AI system with natural language intent detection. When a patient calls, the Primary Router (Natasha) greets them and asks how she can help. Based on the caller's response ("I want to schedule a consultation," "I have a billing question," etc.), the router detects intent and routes to the appropriate specialist agent in under 30 seconds.
Unlike traditional IVR systems with rigid "press 1 for scheduling" menus, ClaireMed understands natural language and routes conversationally.
No. ClaireMed uses ElevenLabs text-to-speech models with 7 distinct voices (Natasha, Cassidy, Amy, Scarlett, Shannon, Vexa, William) that sound natural and conversational—not robotic. Our test callers rated the experience 7-9 out of 10 for naturalness and helpfulness.
Yes. Patients can say "I want to speak with a person" or "transfer me to a human" at any time, and ClaireMed will route them to your front desk or designated human escalation line.
ClaireMed supports 7+ languages with automatic detection. When a Spanish-speaking patient calls and speaks Spanish from the first word, the system detects the language and responds in native-quality Spanish. No "press 2 for Spanish" menu required—just speak naturally. Full conversation continues in Spanish across all agents.
Emergency safety is ClaireMed's highest priority. If a caller mentions emergency keywords (severe pain, heavy bleeding, difficulty breathing, chest pain, high fever >102°F, severe swelling, allergic reaction, loss of consciousness, "this is an emergency"), ClaireMed immediately interrupts, directs them to call 911 or go to the ER, and ends the call.
No transfer, no triage, no exceptions. This protects your practice from liability while ensuring patient safety.
No. ClaireMed has strict non-clinical boundaries. When patients ask medical questions ("Is this swelling normal?" "Should I take ibuprofen?"), the Medical Message Taker agent defers to your clinical staff: "I'd be happy to connect you with our clinical team who can answer questions about your treatment."
AI handles administrative tasks (scheduling, billing, records). Your clinical team handles medicine.
Yes. ClaireMed provides 24/7 call handling capability. After-hours calls are answered, routed, and handled the same way as daytime calls. New patient inquiries, scheduling questions, and billing questions can be handled after hours (with appointments booked or callbacks arranged), ensuring you never miss an opportunity.
Intent detection accuracy is high because we use 7 specialized agents (not a single generalist). If intent is unclear, Primary Router routes to General Support (William) for human-like triage. Plus, agents can transfer bidirectionally—if Scheduling realizes the caller also has a billing question, they transfer to Billing with full context.
ClaireMed is designed to support HIPAA compliance with AWS HIPAA-eligible infrastructure, executed BAAs with all subprocessors, TLS 1.3/AES-256 encryption, zero-retention AI policies, and immutable audit logging.
Important: HIPAA compliance depends on both technology (what we provide) and operational controls (how you deploy it). Your compliance team reviews security architecture documentation and verifies operational controls before pilot begins.
We do not claim "HIPAA certified" (no such certification exists) or "guaranteed HIPAA compliant" (compliance depends on operational controls).
Yes. ClaireMed has executed Business Associate Agreements (BAAs) with all subprocessors that handle PHI: AWS (infrastructure), Twilio Security Edition (telephony), ElevenLabs (text-to-speech), OpenAI/Anthropic (conversational AI), Deepgram (speech-to-text). BAA copies are available for your compliance review before pilot begins.
No. All AI vendors (ElevenLabs, OpenAI, Anthropic, Deepgram) operate under zero-retention agreements—no training on PHI, no data retention beyond active call processing. This is contractually enforced via enterprise BAAs. We can provide copies of zero-retention clauses for your compliance review.
Default retention is ≤30 days for call recordings and transcripts, configurable per client. Security logs are retained ≥1 year hot, ≥6 years archived (compliance requirement). On termination, all client data is hard-deleted within 7 days (except security logs retained per regulatory requirements).
Before discussing appointments, medical records, or PHI, ClaireMed agents request 2-of verification: Date of birth (DOB), ZIP code, Last name, Last 4 digits of MRN, or Phone number on file. Optional OTP (one-time password) verification available for high-security clients. Identity verification methods are configurable per your security posture.
ClaireMed uses a 2-stage Monitoring Framework:
Total pilot period: ~6-8 weeks from kickoff to full production readiness. You don't go live until QA rubric shows success.
ClaireMed doesn't replace your team—it handles repetitive routine calls (scheduling questions, billing inquiries, records requests) so your staff can focus on in-person patients and complex cases. We've seen front desk teams embrace ClaireMed because it reduces call volume burnout and lets them focus on higher-value interactions.
Implementation includes staff training on transfer protocols and human escalation workflows.
Pricing is customized based on call volume, number of locations, and feature requirements. Contact us for a personalized quote tailored to your practice's needs.
Phase 1 (current) focuses on call handling and routing—no EMR integration. Agents collect appointment requests, but your staff enters them into your EMR.
Phase 2 (future roadmap) includes EMR/EHR integration for automated appointment booking, cancellations, and rescheduling. This phased approach reduces implementation complexity and lets you see value fast before adding EMR integration.
That's why we use a 2-stage Monitoring Framework with QA rubric and weekly metrics. Stage 1 (2 weeks) establishes baseline; Stage 2 (4-6 weeks) actively tunes routing and scripts based on your feedback. You don't go live until QA rubric shows success. Plus, weekly metrics provide objective measurement so you can track performance and make data-driven decisions.
ClaireMed uses precise compliance language to stay accurate and credible.
Why This Matters: Precise language protects both you and us from over-promising. Your compliance team reviews our security architecture and verifies operational controls before pilot.
